Billing, Workspace, and User Management

Billing Management
Accessing Billing Settings

To manage your billing settings, click on the Workspace title, which defaults to 'Workspace', at the top of the left-side navigation panel. This opens a dropdown menu with the following options:

  • Workspace Details – Manage workspace settings and members.
  • Invite Members – Quickly add new users to your workspace.
  • Settings – Access organisation configuration and setting options.

Click on Settings in the dropdown menu to navigate to the Settings page. On the left-side navigation, you will see the Organisation Name, under which the following menu options are available:

  • Organisation
  • Workspaces
  • Members (visible only to Owners and Admins)
  • Billing (visible only to Owners and Admins)

Managing Billing Information

To access billing details, click on Billing in the left-side navigation menu. On the Billing Page, you can view details of your organisation’s current plan, including:

  • Number of
    • Users
    • Workspaces
    • Journeys
    • Personas
    • Tags
  • Payment Methods
  • Invoices

To update your plan, click the Manage Plan button at the top-right corner of the page. This will redirect you to the Stripe plan management page, where you can update your organisation's subscription plan.

Managing the Workspace

Editing Workspace Details

Clicking on Workspace Details in the workspace dropdown opens a modal with two tabs:

Overview Tab

In this tab, you can:

  • Update and edit the Workspace Title.
  • Change the URL Path of your workspace.
  • Add or modify the Workspace Description.

Members Tab

In this tab, you can view and manage users who have access to the workspace.

User Management
Traceably Structure

There are two levels of access control within Traceably: Organisations and Workspaces.

  • Organisations – The top-level structure that manages billing and user administration across multiple workspaces.
  • Workspaces – A dedicated environment where teams can create and manage Journeys, Lists, and Resources.

User Roles and Permissions

There are three user roles in both organisations and workspaces:

Organisation roles:

  • Owner – The creator of the organisation. This role cannot be reassigned.
  • Admin – Has the same permissions as the Owner, including:
    • Managing all workspaces in the organisation (add/delete/edit).
    • Updating billing details.
    • Adding and managing members.
    • Assigning members to any workspace.
  • Member – Can only see and access workspaces they have been assigned to.

Workspace roles:

  • Owner – The creator of the workspace. This role cannot be reassigned.
  • Admin – Has the same permissions as the Owner, including:
    • Managing workspace details.
    • Adding and managing members.
  • Member:
    • Can create new journey maps and content cards.
    • Cannot manage workspace members or their roles.

Inviting Members

To Organisation

To invite a new user to your organisation (Organisation owner and admin only):

  1. Click on Settings in the workspace dropdown.
  2. Navigate to Members page by clicking on Members in the left side navigation.
  3. Click Invite to open Invite new members modal.
  4. Select a workspace to add the new member to.
  5. Enter the new member's email address
  6. Select a user role
  7. Click the Invite button to send an invitation.

To invite multiple users at once, paste multiple comma-separated email addresses into the field, select a user role, and click Invite to send bulk invitations.

To Workspace

You can invite new members through the Invite Members option in the workspace dropdown menu or the Members Tab in the Workspace Details modal.

To invite a member:

  1. Type the user name or email address of the member from your organisation.
  2. Select the user role.
  3. Click the Invite button.

To invite multiple users at once, paste multiple comma-separated email addresses into the field, select a user role, and click Invite to send bulk invitations.

You can follow the same steps to invite a new user – user who has not been invited to your organisation – to your workspace.

Note: Inviting a new user to your organisation will consume a seat in your Traceably subscription plan.
